When is a cryostorage contract prompted for termination?

Cryostorage contracts are prompted for termination when specific conditions are met.

Cryostorage contracts in wawa depend on having cryopreserved samples on record within the cryostore, and the patient tied to the sample being responsible for payment of the contract.

When one of the following actions is performed, there is a contract check triggered:

  • Editing a sample record

  • Thawing a device or sample

  • Discarding the final sample on a device

  • Changing a device's availability

  • Shipping a device

This check will confirm whether there is a cryostorage contract associated with the relevant sample. If yes, the contract will be flagged for termination if all devices across all samples covered by the contract meet one of the following criteria:

  • Thaw – the device is thawed for any reason other than "Biopsy and refreeze"

  • Use Status – the device's use status is set to "Research," "Donation," or "Donated to Bank"

  • Availability – the device's availability is changed to "Oh hold – withdrawing consent"

  • Shipped – a device has been successfully shipped

If the above conditions for termination are met, a warning message will be displayed before the action (either saving the sample record edit, or completing the thaw) is completed:
