How do I indicate the current status of an appointment?

1. Appointment Statuses in the wawa platform

Use Appointment Statuses to indicate the current happenings for appointments in your clinic.

2. Creating Appointment Statuses

Set up appointment statuses by visiting your clinic settings, and navigating to the “Appointment Types” tab.

Create/edit appointment types on this tab. Indicate the name, icon, and text colour for the appointment type. Select “Active” to be able to use the appointment type, and unselect this box when you do not want it to show up as an option for indicating the status of appointments. You will be able to reactivate the status in the future if you would like it to be usable again.

To add a timer to an appointment status, in the Appointment Status settings, click the checkbox next to "Show timer in receptionist view." Enabling this setting will trigger the timer to begin counting once that status is indicated for an appointment.

Indicating an "Expected duration in minutes" will trigger the timer text on the appointment in the Worklist view to turn red when the time has been surpassed. This functions as an SLA.

3. Setting Appointment Status

How it works:

  1. Click on the appointment and select the "More..." icon in the bottom

  2. Select "Set Status >" and choose the correct status from the list

Calendar view

Click on the relevant appointment, and then select the 'More" icon on the bottom left of the appointment pop-up.

Indicate the status of the appointment (in line with what you have configured in your settings) by clicking on the relevant status from the selection that appears on the left.

Worklist view

You can also change an appointment status through the Worklist view, which provides an overview of the status of all appointment statuses at a glance.

You can now also see the status of the appointment directly in the calendar via a small icon and hovering over the event card from within the full calendar view will show all key info of the appointment!
