To submit a claim within wawa, there must first be a relevant item within the Charges page, which will be generated after an encounter with the patient.
You can edit charges as needed to prepare for claim submission by clicking "Edit charges" in the ··· menu to the right of the relevant Charge.
When editing charges prior to submitting a claim from the patient's page, you are able to associate an ICD code(s) with the charged products and services – the CPT / HCPCS codes configured earlier in encounter templates will be automatically applied.
When an item on the Charges page is ready for submission as a claim, its status will appear as "Ready to bill"
When there are items marked as "Ready to bill," you can use either the "+ Submit claims" button or click "Submit a claim" in the ··· menu to the right of the relevant Charge
When a claim has been submitted, it will be marked as "Claim submitted"
After a claim is submitted, you can view the claim information in full by clicking on the Billing Reference
When a claim has been accepted, it will be marked as "Claim accepted"
When a claim has been rejected, it will be marked as "Claim rejected"
You can filter by "Ready to Bill," "Claim submitted," and "Claim rejected" within the Charges tab of the patient's profile.
You can view all claims across the clinic by visiting the Finance tab, and navigating to the "Claims" section – here you can filter by 'All,' 'Submitted,' and 'Rejected' as well as using the search bar in the upper-right-hand corner.
As is typical in the US insurance process, claims are sent to a patient's insurance provider from wawa → clearing house → insurance provider → clearing house → wawa. Therefore, data can be a bit delayed in moving between the three parties, but will update in the platform as soon as possible.
