1. How do I set up Calendar Schedules?
You can set up a schedule for a room or a care team member by navigating to that section in the settings
Open Care Teams > Teams > Select team > Schedule
You can either create from a template or from scratch
When creating from scratch you will be asked to select the number of weeks for the rolling schedules, so for example, you can add a biweekly schedule that will alternate between two different weekly schedules on a rolling basis
Set a start date and its recurrence
Navigate to 'appointment type groups' to select the type of appointment that is available for that day and drag it onto the calendar
The length of the appointment group can be dragged to suit the schedule on the calendar
Add as many groups as needed and then hit save!
This schedule is now available for use
Each schedule can be saved as a 'Reusable Template'. - see below
The schedule will show on the calendar after saving it - you'll see see the scheduled appointment blocks with their name and colour.
You can change a single day to suit a specific resource, without having to change an entire schedule by dragging it around the calendar on a day. This will generate a pop up asking if you want to update the schedule or just update that appointment block for that day!
Appointment blocks can be deleted or edited from a particular day from within the calendar view, and you can also add new appointment blocks to the day's schedule from directly in the calendar, giving an improved level of flexibility.
2. How do I use Calendar Scheduling Templates?
The improved templating feature to create templated schedules per roles type, speeds up your processes for adjusting availability!
New temples can be created from already designed resource schedules or you can create a new one from scratch.
To create a new template:
Navigate to Settings > Calendar > Schedule Templates and click on '+ New Template'
Create the template
To use an existing schedule as a template:
Open an existing member's schedule and click the "Save as a reusable template" icon
Rename the template accordingly
You can use a template to set a specific schedule for a specific role and copy it between users with that role type!
