When managing samples in storage contracts, users may encounter issues such as missing samples or difficulties adding samples to contracts. Below are troubleshooting steps to resolve these common problems.
1. Resolving missing samples
If a patient’s samples are not visible when attempting to issue a storage contract, the issue may be related to user permissions or location settings. Follow these steps:
Verify User Permissions: Ensure that your user role has the correct locational access for the site(s) where the patient’s samples are stored.
Check Location Assignments: Confirm that the patient or donor records have an appropriate location assigned.
Re-login: After verifying permissions and locations, sign out of the application and sign back in to refresh the system.
Samples in another contract: The samples may be linked to another contract. See how to check this below.
2. Samples exist in Cryostorage but do not show when creating a contract
If you are unable to add samples to a contract despite them being in cryostorage, the samples may already be linked to another contract. To resolve this:
Check Contract Linkage: Determine if the stored samples are linked to an existing contract. This can be checked by scrolling to the top of the sample in cryo. The linked contract will appear in the top right corner.
Unlink Samples: If the samples are linked to another contract and you believe it is incorrect, you can unlink them from the existing contract.
Add to Desired Contract: Once unlinked, proceed to add the samples to the desired contract.
If you are unsure: Do not unlink samples that you are unsure about, always check with your team before actioning the removal of a contract, as the patient will be notified.
By following these steps, you can address common issues related to sample handling in storage contracts. If problems persist, consult your system administrator or technical support for further assistance.
