A diagnostic workup is a tracked set of tests, appointments and consents ordered for a patient (and their partner, where relevant), from request through to results.
Why clinics use it
Keep the patient informed. They review and accept the workup themselves in their portal, or you can accept it on their behalf.
Save time in initial consultations. Your most common diagnostic panels can be made into templates, so you can order everything with one click.
One place to track everything ordered. Tests, appointments and consents stay together as a single workup instead of separate, disconnected requests.
Results link straight back. Once results come in on the Labs page, they're linked to the workup they belong to.
Plan both partners together. A single workup covers the patient and their partner. You choose who each item is for when you action it.
Move on to treatment. Once a workup is accepted, you can create a treatment plan from it, with the results to hand.
How it works
Create your diagnostic templates in the clinic Settings > Cycles page to streamline ordering the same workup
Create a workup from the patient's profile and choose from an existing template, or add the tests, appointments and consents as needed.
Send it to the patient to review, or accept it on their behalf if they don’t have access to the app.
Once accepted and the first item is actioned, the workup becomes active.
Results appear on the workup as they come in, and link back from the Labs page.
Setting up templates
Go to Settings, open Cycles, and select the Diagnostic Templates tab. Click Add Template, give it a Template name, and add items on each tab:
Tests: the lab tests to order
TDL tests: if your clinic uses TDL
Appointments: the appointment types to book
Blueprints: action plans that send consents, surveys and tasks to the patient
Templates you no longer use can be deactivated. They stay in the list but won’t be offered when creating a workup, and you can reactivate them at any time.
Creating a workup
On the patient’s profile, select Diagnostics in the sidebar, then click New Workup.
Optionally choose a Workup template. Its items are added for you.
Add or remove tests, appointments and blueprints as needed for this patient.
Add any Additional notes.
Click Start Workup.
If the patient has a partner on their record, the workup covers both of them and appears on the partner’s profile too.
Getting the patient’s agreement
Use the Patient acceptance menu on the workup:
Send to patient makes the workup visible in the patient’s app. There they can see each item, who it’s for, and any quotes, and accept the workup. Only the main patient can accept; their partner can only view it.
Accept on patient’s behalf records the acceptance yourself, for example if the patient agreed in clinic or doesn’t use the app. You can do this without sending the workup first.
Items can’t be actioned until the workup has been accepted.
Actioning items
Once the workup is accepted, work through the Actionable items on the Overview tab:
Tests are grouped by laboratory. Choose who the order is for under Order for (patient or partner), then click Order to create the lab order. You can order a whole group or just some of the tests.
Appointments: click Schedule and choose who the appointment is for. The item is marked done once the appointment is booked.
Blueprints: click Review and Send to send the consents, surveys and tasks to the patient or partner. Use Manage to follow up on each one.
Each item shows its progress: To do, Awaiting patient, Done or Not required. Items that only apply to a partner show as not required when no partner is recorded.
Statuses
Status | What it means |
Draft | Created, but not yet shared or accepted |
Sent to patient | Waiting for the patient to accept in their app |
Accepted | Agreed, ready for items to be actioned |
Active | At least one item has been actioned |
Results
The Results section on the Overview tab lists every lab order raised from the workup, with its status, the tests ordered and the results once they arrive.
On the Labs page, any order raised from a workup has a Diagnostic workup button that takes you straight back to it.
Quotes
Use the Quote builder tab to see what to bill for and click Create quote. The patient can see the quote in their app.
Creating a treatment plan
Once a workup has been accepted, click Create Treatment Plan on the workup. The workup’s results are shown while you build the plan, and the plan links back to the workup. See the Treatment plans article for more.
