Using the Labs page

Find out how to use the labs page.

Written by Gabby Adams

The Labs page is a dedicated inbox for your clinic's incoming lab results and orders.

Why clinics use it

  • Quickly see what needs your attention. Results are flagged when they're abnormal, and orders awaiting your signature are easily found.

  • Fill gaps yourself. Add a report manually if one didn't arrive electronically.

  • Keep orders and reports matched up. Assign an order to the report it belongs to if they didn't link up automatically.

  • Filter by location, so you only see what's relevant to your clinic site.

How it works

Open Labs from the main navigation bar. The page has three panels:

  1. The inbox (left). Your lab orders and reports, newest first. Each row shows the patient, when the item came in, the tests or results it contains, and its status.

  2. The details (centre). Select an item to see its order and results in full.

  3. The patient (right). Key details about the patient, such as date of birth, contact details, current cycle and clinical information, so you have context while you review.

Incoming results and orders appear as a list you can filter and review; opening one shows the patient, the result details, and any document attached to it.

My Inbox and Clinic Inbox

My Inbox is the default view. It shows items that involve you: orders you requested, ordered or need to sign, and reports you entered. Switch to Clinic Inbox to see everything across the clinic.

Finding what you need

Use the search box to find items by patient name. For orders, you can also search by the requesting clinician’s name.

You can narrow the list with these filters:

  • Status: for example Draft, Awaiting Signature, Results in, Preliminary or Final

  • Location: only items for patients at the clinic sites you choose

  • Flags: Abnormal result, or No patient assigned for reports that still need matching to a patient

Understanding statuses

Each item shows a status label. When more than one applies, the most important one is shown:

  • Approved, Sent to patient, Rejected or Archived: the result has already been reviewed

  • Abnormal result (red): at least one value is outside the normal range

  • Awaiting your signature: an order that needs you to sign it

  • Otherwise, where the order or report is in its journey, such as Draft, Signed, Results in or Final

Viewing an order or result

Selecting an item opens two tabs:

  • Summary shows the tests ordered, who requested and signed the order, the laboratory, and the results. Abnormal values are marked so they stand out. If a patient has abnormal results, you’ll see a recommendation to get in touch with them, with shortcuts to Book appointment or Create task.

  • Document shows the PDF that goes with the item, such as the signed order form or the lab’s report, if there is one.

Signing orders

When an order is ready, click Send for signature. You need to add at least one test first. The assigned signer will see it marked Awaiting your signature and can click Sign to sign it.

Only the assigned signer can sign an order. To change who signs it, or the ordering clinician, click Reassign on the order. If the change takes the order out of your inbox, you’ll be asked to confirm.

Adding a report manually

If a report didn’t come through electronically:

  1. Click New and choose Manual report.

  2. Choose the patient. You can leave this blank and assign them later.

  3. Enter the dates: requested, sampled and issued.

  4. Add each result by choosing the test and entering its value. Number values accept < and >, for example <0.5.

  5. Click Save report.

To add results to an order you already have, open the order and click Add results.

Linking a report to its order

Sometimes a report arrives without linking to the order it belongs to. Open the report and, under Lab Order, click Link to a lab order. Then choose the right order from the list. Once a patient is assigned to the report, the list only shows that patient’s orders that don’t have results yet.

If a report came in without matching to a patient, click Assign patient. The details the lab sent, such as name, date of birth and patient ID, are shown to help you pick the right person.

Reviewing results

When results are in, click Review and choose one of these:

  • Accept

  • Accept and share with patient

  • Reject

After accepting, you can still Share with patient later. Once a result has been shared, you can Archive it. Rejected or archived results can be reopened with Reopen.
