Send letters to patients – with pre-filled information and branded templates – through the wawa platform

1. Patient Letters in wawa

Sending letters to patients in the wawa platform can be done either based on templates or from scratch, and allows you to send personalised information to patients quickly and keep records of shared letters within their patient page.

2. How Sending Patient Letters in wawa can Help your Clinic

  • Send letters branded with your clinic’s logo and any standard header information

  • Save time sharing information with or about patients by using auto-fill Variables

  • Add efficiency to your letter writing by creating and sending letters based on templates

3. How it Works

Creating Letter Templates

  1. Visit the “Letters and Notes” page in Settings

  2. Click “New Template”

  3. Create your template!

  4. Add “Variables” to pre-fill information from the platform

Editing Letter Templates

Edit the Base Template: Visit the “Letters and Notes” page and find the template you wish to edit. Make any modifications necessary and click “Save.” Your changes will now be in effect for any future letters sent under this template.

Edit a Template to Send to One Patient: To edit one instance of a letter template, send and modify the template as usual from the patient page (as described below)

Sending Letters to Patients

  1. Visit a patient’s page

  2. Select “Letters” on the left-hand menu → select “Create letter to patient”

  3. Select a letter template. Otherwise, create a letter from scratch by typing directly into the text box.

  4. Add a subject, and any cc’d recipients (if applicable)

  5. Modify the template as necessary. Any variables will auto-populate with relevant information as available in the platform.

  6. Need to add attachments? Click “Save as a draft” and then add your attachments.

  7. Ready to send? Click “Send” to immediately share the letter with any recipients.

    • CC any additional participants. If your patient has a partner (who has an email associated with their profile), their email will show up as a suggestion.

Note: If you want a letter associated with a patient but not shared with them, select “Do not share with patient” when addressing the letter

Note: Only want patients to receive letters in the app? Visit your clinic Settings → "Patient Portal" → Select "Only send patient letters to the app"

Viewing Patient Letters

Clinicians: View any letters a patient has received, or any draft letters, from the “Letters” page of a patient’s profile

Patients: Patients receive letters as attachments in an email, and in the “Letters” tab of the app

Note: Once a patient has read a letter, the status of the letter will change from “Sent” to “Read”

Letter Headers

Edit your clinic’s letterhead by visiting Settings → “Letterheads”

Note: Each clinic location can only have one letterhead which is universal across that location
