1. Using Consent Documents in the wawa fertility platform and app

wawa allows you to digitise your clinic’s consents within the platform, improving your overview of, and adding efficiency to consent completion. This allows you to send – and automate the sending of – consents to patients from the platform, and receive fully compliant digital signatures from patients from either the app or the patient web portal.

2. How Digitising Consents in wawa can Benefit your Clinic’s Workflows

For Clinics:

  • Automate the sending of consents through blueprints

  • Generate tasks for clinician completion of consents

  • Pre-complete and autosign consents before approval to reduce completion time

  • Pre-fill patient information from the platform

  • Consent expiry dates ensure re-completion of consents when necessary

For Patients:

  • Shorter time to completion thanks to pre-filling of information

  • Easy access to consents both in the app and via the patient web portal

  • Notifications of and reminders to complete consents

3. How it Works

Getting Consents into the Platform: You share your consent documents with our team as PDFs – we will make sure they look and function well for both your team and your patients, and then upload them to be ready-to-use in your platform.

The “How” of Consents in the Platform:

  1. Create a Consent

    • Share your consents with the wawa team, and we will upload them to the platform for you

  2. Send a Consent to a Patient

    • From the patient page – manually send individual consents to a patient and their partner by, and add your signature once they are ready

    • As a blueprint – assign a blueprint to a patient, and any associated consents will automatically be sent to the patient in line with the blueprint

  3. Edit a Consent

    • Have a new PDF to replace your existing consent document? Send it to the wawa team and we will make the update for you.

    • Do you want to modify how the consent functions in your workflows? You can do so on the consent’s settings page, within the Digital Signatures tab:

      • Mark a consent as inactive to prevent it from being sent to patients in the future

      • Change the title of your consents

      • Mark consents as internal only to be kept in a patient’s record, but not sent to them for a signature

      • Dictate when a consent is shared with a signee by indicating to only generate a task for the care team once everyone else has signed or to only send to patient once care team has signed

      • Indicate the longevity of a consent with an expiry period by selecting its validity period

      • Indicate when any related samples expire for cryostorage consents

  4. View all Consents

    • Take a look at and manage all your platform’s consents on the Digital Signatures page of the platform

    • View all consents related to a patient on the Consent tab of their patient page

      • Send reminders to complete consents

      • View and download documents

  5. Require Patient Viewing of Information Prior to Signing Consents

  6. Review a Consent

    • By requiring a review of a consent document, a care team member will be assigned and notified to review a consent following its completion – enabling you to request amendments, approve, or void consents

  7. Cancel a Consent

    • Navigate to the individual consent you wish to cancel on a patient’s page, and opt to cancel request under ‘options’

    • Void a completed consent by initiating a review and changing the status

  8. Upload Completed Consents

    • From a patient’s page, you can upload completed consents to import consents completed outside of wawa, and connect them to a patient

What Patients See in the App:

When a consent is shared with a patient, they receive both a notification within the app and an email alert to complete the consent. Periodic reminders are sent to patients until the documents are completed.

  1. Complete consents directly within the app, on a computer should they choose

    • Consents needing completion appear directly on the app’s home page

    • All consents – whether completed, in progress, or newly sent – appear in the Documents section of the Clinic tab of the app

  2. Consents with an associated Information Package: these packages can be viewed and acknowledged by patients directly before signing consents, be it in the app or on a computer

  3. View and download all signed consents within the Documents tab of the app
