How do I record an offline refund?

Learn how to record refunds in the wawa platform for payment methods such as cash transfers.

You can now record manual refunds for payments that were refunded outside the system (like cash refunds)! This is for tracking refunds that happen offline, and is not for automatically processing refunds.

You can also link refunds to specific payments received – if there are multiple payments to choose from.

How do I do this?

  1. Make sure that there is a credit note associated with the payment

  2. Ensure the patient has a sufficient deposit balance

  3. Process the refund outside of the system

    • For example, complete the bank transfer or give the patient the relevant physical cash amount

  4. Find the relevant transaction (for example, locate the invoice and scroll down to the 'Transactions' header)

  5. Click the "Refund payment" dropdown

  6. Select "Refund from manual payment [DATE]"

  7. Enter the amount you wish to refund

  8. Click "Process refund"

What happens after?

After recording the refund:

  • The manual refund appears in the system for tracking

  • The patient’s deposit balance is reduced by the refund amount

  • You can see refund history linked to the original payment

  • Proper accounting entries are created in the background
