Configure appointment types to automate actions when appointments are booked, and manage appointment related functionalities.

1. Appointment Types in wawa

Set up appointment types in your platform to ensure that the proper functionalities and booking information are linked to your appointments, and shared with patients.

2. How to Set Up Appointment Types

Visit your clinic settings → Calendar section → “Appointment types” tab

From here you can edit, search for, and add appointment types.

Adding an Appointment Type

Details

  • Type: This indicates the location of the call

    • On-site: Appointments that happen in-person at one of your clinic’s locations

    • Online: Patients and clinicians will be able to join the appointment as a video call directly through wawa.

    • Phone call: Patients will receive a note on their appointment tab showcasing the number at which they will receive a call from the clinician

    • Hidden from patients: this appointment type will be associated with the patient but not shown to the patient – useful for things such as thawing gametes and preparing operating suites for patient procedures.

  • Appointment name: Set an internal name, and an optional external patient-facing name

  • Description: Add brief information you would like your patients to see

  • Duration: Set the appointment time

  • System category: Selecting “Egg collection,” “Embryo transfer,” or “Ultrasound” can enhance the cycle overview on a patient’s cycle page with relevant information

  • Capabilities: Utilise capabilities when you want to ensure certain functionalities, rooms, or team members are linked by default

  • Automated billing: Add any products for which you would like to automatically book when this appointment time is created

  • Attachments and Videos: Add any materials you would like to be attached to the appointment page for patients to review

Booking Settings

Utilise the booking settings to configure the ability for patients to self-book this appointment type. You can choose to add a blueprint that will be initiated once the appointment type is booked by a patient.

Availability

Configure the availability of the appointment – including buffer time, minimum booking notice, and maximum bookings/availabilities per day – in order to ensure the calendar suggests appointment times that work well for your clinic’s workflows.

3. How to Use Appointment Types

When booking appointments on the calendar, any functionalities as configured above will be implemented.
